Automation fit checklist for owner-approved AI workflows.
A workflow is ready for automation only when the trigger, data, audience, message, owner, pause rule, and success measure are clear.
This checklist helps owners decide what should stay manual, what can be drafted by AI, and what can eventually become operational.
Trigger fit
Can the business describe exactly what starts the workflow? If the trigger depends on ambiguous context or missing data, AI can prepare a recommendation but should not act without review.
Message fit
Is the message routine, low-risk, and based on reliable context? Or does it involve price, policy, unhappy customers, sensitive facts, or a commitment the business must own?
Control fit
A useful automation needs pause controls, opt-out respect, audit history, and a way for the owner to see whether it actually improved the workflow.
Data fit
The workflow needs trusted input data. If the system cannot see consent status, customer context, or the last interaction, AI should prepare a review item instead of sending.
Exception fit
Automation is a poor fit when the workflow often involves unhappy customers, pricing disputes, legal or compliance questions, urgent service, or promises the business must approve.
Success fit
Before automating, define the success measure: faster first response, fewer stale leads, more booked appointments, fewer missed reminders, or less manual owner reconciliation.
