Before the booking
Define appointment types, required intake fields, qualification rules, team availability, location constraints, and the messages that need human review before a booking is offered.
During the booking
Keep source context, customer notes, promised next steps, and any constraints attached to the appointment. The calendar entry alone is rarely enough.
After the booking
Decide how reminders, no-show recovery, rescheduling, and follow-up should work. Each step should have a pause path when context is missing.
